Affiliate Program Privacy Notice

This notice applies specifically to people who apply to or participate in The Steading Codex Affiliate Program. The program is operated by Web Production Labs LLC, a Georgia limited liability company, trading as The Steading Codex (mailing address: 25 SE 2nd Ave, Ste 550 #166, Miami, FL 33131, United States).

1 · What we collect

• Application details: your name, email address, the website/channel URLs where you publish, and audience information you provide (size, niche).
• Tax information: a completed IRS Form W-9, which includes your legal name and taxpayer identification number (SSN or EIN).
• Payout details: your US bank account details (routing and account number) for ACH direct deposit — collected securely and used only for payouts and tax reporting.
• Program activity: referral clicks, conversions, commissions, and payout history (via our affiliate platform).
• Agreement acceptance: a record that you accepted the Affiliate Program Agreement and this notice, with a timestamp.

2 · Why we use it

• To administer the program (approve applications, track referrals, calculate commissions).
• To process payouts.
• For tax reporting (issuing IRS Form 1099 where required, and retaining W-9 records).
• For fraud prevention and enforcing the Agreement.

3 · Who processes it

• GoAffPro — affiliate tracking, dashboards, and payout records.
• Shopify — the store the affiliate links point to.

Your bank / ACH details are used only to send your payout by direct deposit and for tax reporting. We share data with these processors only as needed to run the program, and with tax or legal authorities where required by law.

4 · Retention

We keep tax records (W-9, 1099, payout history) for at least four years as required by US tax rules. Application and program data is kept for the life of your participation and a reasonable period afterward, then deleted or anonymized.

5 · Your rights

You may request access to, correction of, or deletion of your personal data (subject to records we must keep for tax/legal reasons) by emailing hello@thesteadingcodex.com.
